Organise conversations and follow up

Organise your email, keep useful conversations close at hand and use due dates to find actions that need your attention.

Available since 9 October 2026

The guides describe available tasks. Some options depend on your plan, your workspace’s capabilities and your provider’s permissions.

Keep the scope of each action clear

Select a conversation or several conversations, then choose an action such as archive, mark as read or move. Check the relevant mailbox and view. Acting on a selection is different from creating a rule for future messages.

The list may reflect your intention immediately while the provider confirms it. The tracking card then shows acceptance, processing and the result. An accepted operation continues without an open tab; a visual change alone does not prove acceptance.

  1. Select the relevant conversations in the correct mailbox.
  2. Choose the action then consult its tracking card.
  3. Use Check if you see rejection, a partial result or uncertainty.

Separate tags from filing

Organize opens with Aerogram tags and their management. These tags remain local to your workspace and apply across your mailboxes; they do not become Gmail labels or IMAP or Microsoft folders. Deleting a tag does not delete the messages that carried it.

File in this mailbox opens provider filing in the same dialog. Each selected mailbox has its own section: check its name and partial states before choosing an available label or folder. The action affects only that mailbox. Back to Aerogram tags returns to the first view; changing views applies no action. This flow has been available in production since 12 October 2026.

  1. Open Organize and choose Aerogram tags for local organisation.
  2. For provider filing, open File in this mailbox and the section for the intended mailbox.
  3. Check the scope, partial states and result; returning to tags applies no action.

Undo while preserving newer choices

An action known to be accepted may offer Undo for ten seconds. This requests the inverse of the recorded action; it does not claim to undo an unknown result. Recent action history lets you return to the corresponding card.

A later change to the same folder, tag or state is preserved when undo cannot restore the earlier choice exactly. An uncertain move or spam report is never automatically repeated. Check the result and provider state before deciding on another action.

Find what matters

Stars, local tags and saved searches help you find a conversation without changing its text. Folder and filing options depend on the provider. With Microsoft, Aerogram tags remain local and do not become Microsoft categories.

To clear your inbox temporarily, snooze a conversation until a chosen date or ignore it. These Aerogram states do not move email at the provider. An ignored conversation remains accessible in its dedicated view; it is not deleted.

Use reminders and To do

When a due date arrives, its action appears in To do in the unified inbox or the relevant mailbox. Reminders separates due actions from upcoming ones. Open the card to reply, postpone the due date or finish the action according to what you have actually done.

A draft, pending send or uncertain result does not complete an attention item. Some items wait for a matching incoming reply or a confirmed send. A Microsoft request that is only accepted still needs checking; it does not count as a delivered reply.

Move a message out of Spam

An expected reply that ended up in Spam can return to your inbox with Not spam. The reader shows this button below the sender, with a note explaining the move. The same action is available in the message menu and in the selection toolbar of the Spam view. This flow has been available in production since 12 October 2026.

In a conversation containing messages from several folders, only messages actually in Spam are affected. Messages already in the inbox or Sent stay where they are. Each message returns to the inbox of its original mailbox, without moving to another mailbox. The action creates no rule and makes no promise of training a spam filter. The move preserves read or unread status; normal reading behaviour remains separate.

The action card distinguishes progress from confirmation. Check it after the action: a refusal, an error, a partial or uncertain result does not mean that all messages have been moved. An action with an unknown result is never retried automatically. Undo, when offered, requests the inverse of the recorded action with the usual safeguards. Moving a message out of Spam does not unblock its sender, allow remote images or disable HTML isolation.

  1. Open Spam in the correct mailbox and find the message, or select the relevant conversations.
  2. Choose Not spam in the reader, its message menu or the Spam selection toolbar.
  3. Check the action card until a result is available; use Undo if it is offered and you want to reverse this action.

Create a filter for future messages, staging preview

On staging, open Manage automatic filters from Tags, then New automatic filter. The editor separates Mailbox and conditions, Actions and Preview and confirmation. Choose a mailbox; sender suggestions come from its known mail in Aerogram’s local cache. Selected complete addresses become exact conditions. Several known senders are grouped as alternatives: one OR the other. Staging addition, October 14, 2026: criteria appear as chips. All of these criteria (AND) requires every criterion to match; At least one of these criteria (OR) accepts an alternative. Changing this combination preserves subgroups.

To edit a value, remove its chip and add the right criterion, or use Advanced mode. If an existing group requires several exact sender addresses at the same time, an alert offers Accept any of these addresses: this correction is optional and preserves the other criteria. For future messages, a preview is recommended before Save. After assigning a tag, Also for future messages from this sender offers an optional filter: confirm the complete address and mailbox. Receipt before the filter’s original creation excludes a message even if imported later. Editing or reactivating the filter does not start a general filing job for older messages. To process them, use the separate Also apply to messages already present option, unchecked by default, with a preview and confirmation.

The home shows name, summary, Active or Paused and Edit. Click the state to pause or reactivate the filter. In Edit, open Filter activity only when you want to inspect processing of older messages or errors. An uncertain result will not be replayed; check it with your provider before Resume other messages.

  1. Open Manage automatic filters from Tags, then New automatic filter.
  2. Choose the mailbox, name and conditions; select a known sender if useful, then add the actions. Several known senders form an OR group.
  3. The preview helps check future messages before Save. Processing messages already present requires its own option, a preview and confirmation.
  4. Manage a filter using its state or Edit; open activity and check errors before resuming the other messages.
